OptimiDoc can convert scanned documents to more than ten file types. It not only converts to clean text, but can keep formatting, paragraphs or images in the right place.

The most common types are included: Microsoft Word, Microsoft Excel, searchable PDFs, HTML or plain TXT files.

Process documents in digital format only. You can send a digitalised document via e-mail, save it in a folder or upload it through a web interface.

You can then simply convert your document to Word by sending it to word@company.com. You can digitalise documents using the mobile app by taking photos or uploading the image from the mobile device gallery.

Other destinations
Digitalised documents can be stored in several scanning locations at once, without any need for moving them. On top of this, another application or script can be run over the document after processing has been completed.
Browsing the destination
You can browse on your device the destination and choose a directory in which the final document shall be stored. If no directory exists, you just create it.

Reads bar codes and uses them for next processing in the document management system or for document indexing, naming and classification.

OptimiDoc supports the recognition of over 60 of the most widely used 1D and 2D codes.

Document separation

It does bulk document digitalisation

Document separation is often done in batch digitalisation of several documents simultaneously. This means that not all documents need to be digitalised separately.

Automatically separates documents using a blank page, a bar code (as selected) on the first page of the document, a fixed page count or pre-defined text on the document.

Zone OCR

Monitors the designated space of documents

Zone OCR can be done to obtain text or a bar code from a pre-defined position in the document. Filters can be used to restrict text using a template or only a portion of recognised text can be chosen.

This functionality automates the extraction of data from such documents as a delivery sheet or invoice, and/or other structured documents.

Image quality enhancement
OptimiDoc performs a number of operations for the enhancement of images obtained from documents. This improvement is the basis for high-quality recognition and subsequent document archiving. Supported quality enhancement functionalities include:

Document metadata
Every digitalisation process can involve pre-defined metadata which the user enters on the multifunctional printer. They describe every document. These data can be then transmitted to other systems or used to define the final storage site.
Automatic document naming
The document can be named based on values obtained from extracted zones, bar codes and/or through system parameters such as processing time and user name.
Notifications and back-up destinations
The document can be stored in several destinations simultaneously as part of the same scanning process at all times or only if there are issues with storing the document in the primary destination. In this case, the user can get a notification about the result of delivery to an e-mail or any other supported destination.
Scanning via the mobile app
Documents can be also sent using our mobile app where the user can upload the document from the mobile device internal memory or take a photo of it. This way, the user can make a photo of a document and send it directly to the accounting department.
