Secured printing

Collect your documents on any printer within the print environment with secured direct printing and one printer driver. Printed documents will remain stored on the server until the authorised user requests them on a specific printing device.

Advanced print settings directly on the device

OptimiDoc will assess the possibilities of a specific multifunctional device and offer the user the final editing of the document, such as stapling, duplex printing or quality settings.
 The user can also preview the entire print job directly on the printer control panel.

Print connectors

Today, cloud storage is a standard feature of a modern office.

Thanks to OptimiDoc, you can browse the documents and send them for printing directly from the control panel of the multifunctional device.
 The login function via the single sign-on in combination with cloud storage means that the user does not have to enter the login details each time.

Multi-level verification

The user is authenticated using an RFID card when using the multifunctional device.

Thanks to the extensive support of standards, the customers can use their existing cards from systems already in operation, for example for access control.

If the company does not use the card system, or if the user forgets the card, it is possible to log in using a PIN code or the combination of name and password.

Access rights and printing rules

Setting access rights and rules for users is important for efficient cost management.

Every employee can set their preferred way of printing in advance – when, what and how they print most often.

Based on these data, the administrator easily sets the main printing rules in the company, for example obligatory black-and-white or duplex printing.

Secure data transmission

All data are encrypted and protected during transmission.
 OptimiDoc uses TLS protocol for secure communication with multifunctional device, from receiving the print job to delivering the data for processing.

Sophisticated reporting

OptimiDoc monitors all printers in your company, from the large multifunctional devices to small local USB printers.

Thanks to the secured communication, it obtains information about the documents printed, number of copies and digitalised files, and saves them for further processing in reporting.

Scalable architecture and integration with business environment

OptimiDoc supports various print environments without limiting the number and type of connected devices, printer brand or the operating system. The entire solution can be administered centrally from one administrator account.
OptimiDoc can also be fully integrated into your business environment. Synchronisation of users with Microsoft 365 or Google Workspace is a matter of course.

Convert your paper documents to more than ten types of editable files. OptimiDoc does not just convert to a plain text, it keeps the formatting, paragraphs and images in the right place. You can choose from the most used formats, such as Microsoft Word, Microsoft Excel or PDF with search option.

Send documents directly to the company storage

OptimiDoc Server allows its users to send documents directly to the cloud storage of the company, from anywhere, in real time. That means the end of complicated forwarding via e-mails. Currently, OptimiDoc can automatically extract data from documents or require data from the users during scanning.

Unlimited OCR and advanced processing

OptimiDoc Server is not limited by the number of processed documents and besides OCR it also provides advanced data processing, such as bar code recognition, separation of batch scans or zonal OCR.

Get most of the PDF functions

PDF files are fundamental for digital transformation of business processes. Besides the fact that OptimiDoc provides automatic document conversion to a searchable PDF version, it also allows users to connect their digital signature, compress the document size or, for example, encrypt documents.

Intuitive user interface

Simple and clear interface you can master in no time. Installation takes less than 20 minutes – all you need is an internet connection and you can start scanning from anywhere.

Multifunctional printer

The multifunctional device remains locked until the user logs in. After logging in, you can print your documents from the secure print queue or directly from the cloud storage. Before printing, the user can preview the document and edit its final layout. 

Scanning part allows you to choose the required scanning process, enter metadata and scan the document. OptimiDoc Server will take care of the subsequent processing.

Mobile application

Users can also manage their print jobs and subsequently send them using their mobile device. They can send them not only to the multifunctional devices but also to network printers without any integration option.


The scanning part then offers the option to use the mobile device camera to scan the document and send it to the chosen process.

Administration interface

The entire configuration takes place via the web interface. The administrator will set up individual printers, printing rules or scanning processes through the interface.
